Guidelines for Submitting a Day of Caring 2025 Project
Organizations interested in hosting a Day of Caring volunteer project must follow these guidelines to ensure a successful experience for both agencies and volunteers. Please review all requirements carefully before submitting your project proposal.
Eligibility & Focus
Projects must benefit a nonprofit, school, or community-serving organization in Baytown or Chambers County.
Projects should be people-centered or support your organization’s capacity to serve people.
Projects must be safe, well-organized, and able to be completed within a 4 - 8 hour timeframe.
Required Information
Your project submission form must be completed in full, including:
Project title and description
Site address and access details
Primary contact information (must be someone available to coordinate logistics and answer questions)
Volunteer needs (minimum and maximum number of volunteers)
Supply list and indication of which materials you can provide vs. request from United Way
Budget form – this is required for any project requesting funding or materials

Important Dates
Project submission deadline: August 25, 2025
Project days:
Thursday, October 2
Saturday, October 4
Projects will be scheduled based on the agency availability and volunter capacity.
Agency Expectations
Before the Event:
Ensure the project site is ready and accessible
House all necessary supplies on-site
Host a brief volunteer kickoff at the start of the project
During the Event:
Have a staff member or site lead present for the duration of the project
Provide access to restrooms, water, and a clean, safe work area
Offer snacks or light refreshments as a gesture of appreciation (optional but encouraged)
After the Event:
Submit the brief host agency survey (provided by United Way)
Share 2–3 photos and a short impact summary (used for reporting and marketing)
Photo & Media Release
By submitting a project, you agree to allow United Way to take photos and videos at the project site for use in promotional materials and reports.
Ineligible Projects
Projects that involve hazardous materials or require professional licensing
Fundraising events or activities
Projects that promote a political or religious agenda
Incomplete or late submissions
